Back office for fire protection and life-safety contractors

Every inspection deficiency, quoted, followed up, scheduled and paid.

We turn the deficiencies in your inspection reports into repair proposals, follow up with your customers, schedule the work they approve and chase the invoices. You approve every proposal before it goes out.

The problem: repair work left on the table

Inspections find deficiencies. Turning those findings into quotes takes office time most contractors do not have, so much of the repair work never gets quoted, and quotes that do go out often get no follow-up.

Industry data on how many deficiencies get quoted: ServiceTrade, The Deficiency Efficiency Guide.

Walk through each step in detail →

You approve. You control.

We do the office work. The decisions stay with you.

  • Every proposal is approved by you before a customer sees it. Price, scope and wording are yours to change.
  • Your pricing comes from your price list and labor rates, never ours.
  • Follow-up messages use templates you sign off on during onboarding, sent in your company's name.
  • Your schedule: we only book into time slots you have opened, and you can move anything.
  • Invoice follow-up tone and when to stop are your call. We never threaten collections or change balances.
  • Fire department filings stay with you. We never submit to a fire department or local authority unless you tell us to.

Security and access

  • Least access. We ask only for the access each step needs, and start with the least: forwarded reports and exports.
  • Our own login. Where we need a seat in your software, we use a separate named user with a limited role, never a shared owner password.
  • Revoke anytime. Delete our user, expire our key or stop forwarding, and our access ends that minute.
  • Your data stays yours. Records stay in your systems. We do not sell or share your customer list.
  • Everything is logged. You can see what we sent, to whom and when.
Example only

A day in the life

An illustrative example of a typical day. The company, times and job details are made up to show the process, not results from a real customer.

Yesterday's three sprinkler inspection reports arrive by email forwarding from your inspection software. We read every deficiency: a corroded branch line, two painted sprinkler heads, a missing gauge.

Three draft proposals are waiting in your approval queue, priced from your price list, with the inspector's photos and notes attached.

You review them on your phone, bump one price, approve all three. They go to the building managers from your company's email.

A property manager who got a proposal last week has not replied. Touch three of six goes out: a short reminder with the proposal link.

Another customer approves a fire alarm repair. We book it into a slot you opened on your scheduling calendar and confirm with the site contact.

From your accounting export, two invoices are past 30 days. Polite reminders go out with a copy of the invoice. One customer replies with a payment date, noted for you.

You get a one-page summary: proposals sent, approvals, jobs booked, invoices chased, and anything that needs your answer.

See it run on your own inspection reports.

Send us a few recent reports. We will show you the proposals we would draft, and you decide if it is worth it.
